Press and Media Presence Policy

Purpose
This policy governs the presence of press and media outlets on Christendom College’s campus to ensure that all interactions with external media align with the college’s values, mission, and objectives. It is designed to protect the privacy of our students, faculty, and staff while maintaining consistency and accuracy in the portrayal of the college in all public forums.

Scope
This policy applies to all external press and media representatives, including but not limited to reporters, photographers, videographers, social media influencers, and freelance writers, as well as internal parties seeking media coverage for events, projects, or activities involving Christendom College.

General Policy

    1. Approval and Coordination
      All press and media activities on Christendom College’s campus must be pre-approved and coordinated through the Communications and Marketing Office. This includes, but is not limited to:
      – Interviews with faculty, staff, or students.
      – Photography or videography on college grounds.
      – Coverage of campus events.
      – Feature stories or special projects involving the college.
    2. Media Access
      Media representatives must submit requests for access to the campus at least two weeks in advance of their intended visit. Requests should include the following information:
      – Purpose of the visit.
      – Intended subjects (e.g., specific individuals, departments, or events).
      – Duration of the visit.
      – Equipment to be used (if applicable).
    3. The Office of Communications and Marketing will evaluate the request and, based on its nature, alignment with the college’s mission, and privacy considerations, either approve it, suggest modifications, or deny access.

      1. Supervision of Media Activities
        Once approval is granted, a designated member of the Communications and Marketing Office or their representative must accompany media personnel during their time on campus. This ensures that all coverage reflects the values and image of Christendom College and that media personnel adhere to campus guidelines.
      2. Privacy and Consent
        The privacy of Christendom College students, faculty, and staff is paramount. Media personnel must obtain written consent from individuals before recording interviews, capturing photos, or using their likeness in any coverage. The Office of Communications and Marketing will provide consent forms, and these must be submitted before publication or broadcast of any material.
      3. Restricted Areas
        Certain areas on campus are restricted and off-limits to press and media personnel unless express permission is granted. These areas include, but are not limited to:
        – Classrooms during instructional time.
        – Residence halls.
        – Private offices and workspaces.
        – Liturgical spaces during Mass or religious services.
      4. Event Coverage
        Requests for media coverage of college events (e.g., conferences, guest speakers, athletic events, graduations) must also go through the Office of Communications and Marketing. Christendom College reserves the right to limit or prohibit media coverage of specific events, especially if such coverage could disrupt the event, infringe upon privacy rights, or conflict with the event’s purpose.
      5. Emergency or Crisis Situations
        In the event of an emergency or crisis situation on campus, all media inquiries and access will be directed and managed by the Office of Communications and Marketing in conjunction with college leadership. Unauthorized media presence during emergencies is strictly prohibited, and the college may take appropriate action to enforce this policy.
      6. Use of Christendom College Branding:
        Media coverage involving the Christendom College name, logo, or any other brand identifiers must comply with the college’s branding guidelines. Any use of college imagery or footage must receive prior approval from the Office of Communications and Marketing to ensure brand integrity.
      7. Social Media and Digital Coverage:
        Social media influencers or digital content creators wishing to film, record, or produce content on campus are subject to the same approval process as traditional media outlets. Any content published on social media platforms or digital spaces must align with the values and mission of Christendom College.

      Enforcement
      The Communications and Marketing Office reserves the right to deny access or remove any media personnel from campus who fail to comply with this policy. Unauthorized media activities may result in legal action or other appropriate consequences.
